OCR for Schools: School Management Across Campuses

One portal for school teams, students, and families

OCR for Schools is the school management product in OneClickRooms (OCR) for Education, alongside OCR for Higher Education. It connects campus administration, academic operations, student services, parent access, and school finance in a role-based platform. Explore OCR for Higher Education.

Underlying platform: OCR for Education

Illustrative examples; vendor offerings vary. Actual portal, sender, verification, and invitation details depend on configuration and the supported communication flow.

Custom Portal Domain

Use an institution-controlled subdomain. System Settings shows the ownership and DNS steps, then lets an administrator verify the portal mapping.

Institutional Branding

Use separate web and mobile logo assets, where supported, and institution identity details across portal views and communications.

Authenticated Institutional Email

Configure an institution-specific MailFrom domain and sender display identity for supported communications.

SPF & DKIM Verification

Publish the DNS records provided in System Settings and verify the sending domain and authentication records before configuring its sender.

Branded Notifications

Supported notices and invitations can use the configured institution identity, branding, and portal links. Details depend on the communication flow.

Self-Service Setup

An authorized administrator manages branding and domain settings in OCR. The institution’s IT team publishes the DNS records and the administrator verifies setup in the platform.

Configure your identity in two self-service flows

  1. Portal domain: Enter the institution-controlled hostname, have the IT team publish the CNAME and ownership records shown in OCR, then verify the mapping and activation status.
  2. Email identity: Enter the sending domain, have the IT team publish the generated DNS records, verify the domain, SPF, and DKIM status, then configure the sender identity.

Institution and campus operations

Organize campuses, buildings, classrooms, academic Boards, classes, subjects, staff, and students with role and campus boundaries.

Student and parent portal

Students use their own account. Parents see only the students assigned by the school, switch between their linked students, and open each student’s workspace.

Classroom schedules

HODs submit class schedule requests for a Board, class, subjects, faculty, and effective dates. Campus Administration allocates time, building, and classroom.

Homework and student activities

Teachers assign student work through academic workflows; students and their linked parents can review the assigned homework and submission status.

Examinations and results

Authorized school roles coordinate exams, approvals, submissions, attendance, marking, result publication, and student access.

Fees and student finances

Finance teams configure fee types, issue recurring or individual charges, review payment evidence, and manage student account records. Students and linked parents can pay, submit payment evidence, review balances, and download available invoices and receipts.

Accommodation and student services

Authorized students and staff can use the accommodation, leave, transfer, and other student-service workflows enabled for their account.

Connected virtual classes

Where configured, authorized users can connect Google Meet, Microsoft Teams, or Zoom and attach meeting links to class schedules.

Student and parent email updates

Student-targeted portal emails are also copied to the linked parent when the active assignment is available. Password reset messages are excluded; security notifications may be copied.

Role-based access and Financial Hold

Page and action access is checked for the active student and campus. A student Financial Hold is also applied in that student’s parent workspace, with My Finances available for payment-related work.

Administration and reporting

School teams use assigned dashboards, task queues, reports, and approval workflows to follow operational work across the institution and their campuses.

Classroom schedules and attendance

Review published schedules, manage authorized schedule changes, and record attendance against class sessions.

School transportation

Manage campus vehicles, routes, stops, passenger capacity, and effective stop fares. A student or parent working in the selected student’s context can request service; Campus Admin approves it and Finance verifies payment before an active request provides a downloadable PDF pass with a QR verification page.

School event management

Coordinators schedule class-wide academic events and Campus Admin schedules campus-wide events. Notify eligible students and linked parents, manage per-student event fees, and collect post-event feedback.

Employee and Teacher Employment Management

OCR for Schools connects HR policies, employee and teacher contracts, staff leave, school-vacation salary terms, and finance-controlled payroll across institution and campus scopes.

Institution and Campus Employment HR

Assign employment access to institution HR or selected campus HR so contract work follows the employee's approved school scope.

Employee and Teacher Contracts

Issue contracts with designation, campus, department, grade, salary step, workload, notice periods, contract terms, and optional signed-PDF acceptance.

Grades, Steps, and Contract Renewals

Manage salary scales, preserve contract versions, record approved step changes, and issue a new offer when a contract is renewed.

Staff Leave and Vacation Terms

Configure eligible leave types, allowances, approval, and carry-forward, alongside contract terms for summer and winter vacation salary treatment.

Tax-aware Payroll and Staff Ledgers

Review salary tax estimates and take-home pay, then process approved salary batches with overtime, extra duties, visiting-teacher pay, bonuses, leave deductions, and advance recovery.

Employment Lifecycle and Experience Letters

Configure campus- and institution-scoped reviewers for employee and teacher resignations, separations, and experience letters. Keep personal My Records separate from Employment Approvals, with QR-verifiable issued letters.

Parent access follows the selected student

A parent account is created or assigned by authorized school staff. The parent signs in with their own credentials, chooses a linked student from the Family Dashboard, and works in that student’s context. Switching to a sibling changes the active student and the records shown in student pages.

One student can have only one active parent account. For siblings, a school can assign one parent to a verified sibling linkage so the parent can access the linked group. Student and parent account credentials remain separate.

Schedule requests and room allocation

School classroom scheduling uses the campus, Board, class, academic term, and effective date range. The HOD defines subjects, faculty, and request details. Campus Administration assigns the class time and physical room, with availability checks for faculty and classrooms.

School-controlled access

Menus reflect assigned roles and the student’s available services. If a Financial Hold restricts a student, the menu remains visible, but opening blocked work redirects to My Finances. The same student-specific rule applies when a parent has selected that student.
